Job Description

ADOA-ASET develops and executes the statewide IT strategy for Arizona state government and provides IT services and infrastructure to state agencies to ensure continuity of mission critical and essential systems. AtoZ Arizona is a state-led initiative to create a centralized portal that connects Arizona citizens to state services. This portal will act as a "front door," providing streamlined access to public-facing state government services and simplify the citizen experience.

Our team is seeking a Project Coordinator to join our team and support the coordination of the AtoZ program and its project. This position will provide coordination support to the AtoZ Arizona Program Manager/Product Owner and the Project Manager. This role will be instrumental in facilitating effective communication, managing program logistics, and ensuring the smooth operation of program activities.

Key Responsibilities:
-Schedule and coordinate meetings for the Program Manager/Product Owner and the project team.
-Assist the program manager and project manager in the preparation of meeting agendas and distribute them in advance of meetings.
-Attend meetings, capture detailed and accurate notes, and distribute meeting minutes.
-Track, monitor, and follow up on action items, ensuring timely completion.
-Compile and summarize reports, presentations, and other program documents.
-Interface and communicate with program stakeholders.
-Assist in the development and maintenance of program documentation, including schedules, plans, and reports.
-Support the Project Manager in project-related tasks, such as tracking progress, managing resources, and coordinating project activities.
-Proactively identify and address potential issues or inefficiencies in program operations.
-Elevate issues to the attention of the program manager or project manager as appropriate.
-Document lessons learned and other project and program related documents.

Qualifications:
-Proven experience in a project support role.
-Excellent communication skills, both verbal and written.
-Strong organizational and time-management skills.
-Ability to think critically, take initiative, and work independently.
-Proficiency in Google Workspace and project management type software (such as Jira, Smartsheet, etc.).
-Exceptional attention to detail, grammar, and spelling.
-Ability to summarize complex information clearly and concisely.
-IT experience is highly desirable.

Preferred Qualifications:
-2-3 years of experience in project coordination or program support
-Experience with IT projects
-Certified Associate in Project Management (CAPM) or similar certifications a plus but not required
